Titan Insurance Solutions Inc., a California corporation doing business as Titan Commercial Insurance Solutions ("Titan," "we," "us," or "our"), is an independent California-licensed Property & Casualty insurance brokerage. We specialize in commercial insurance and operate as an independent broker, placing coverage on behalf of our clients with insurance carriers, wholesale brokers, and managing general agents (MGAs).

This Privacy Policy applies to visitors to our website; current and former clients; and individuals whose personal information we collect, use, or disclose in connection with our brokerage operations.

Information We Collect

A. Information You Provide Directly

In connection with insurance transactions — including quotes, applications, placements, endorsements, renewals, audits, and claims — we collect the information necessary to evaluate your insurance needs, obtain and bind coverage on your behalf, and service your account. The specific information varies by the type of coverage and may include:

• Identity and contact information (name, mailing address, email address, phone number, government-issued identification numbers)

• Business information (legal entity name, entity type, years in operation, number of employees, revenue, licenses, and operational details specific to your industry)

• Financial information (payment details, premium history, financing preferences)

• Insurance history (prior and current coverage, policy numbers, loss history, and claims history)

• Risk-specific information (vehicle information, property schedules, driver records, cargo types, or other underwriting data required by the applicable carrier or MGA)

• Transaction records (signed agreements, binding documents, acknowledgments, and correspondence related to your account)

We collect only the information necessary to perform brokerage services on your behalf.

B. Information Collected Automatically

When you visit our website, our website platform collects limited, privacy-friendly analytics on an aggregate, cookie-free basis — such as page views, traffic sources, general location (country), and device type. This information does not identify you personally. We do not currently use third-party advertising or tracking pixels (see Cookies, Tracking & Analytics below).

C. Information We Receive from Third Parties

In connection with insurance transactions, we may receive information from:

• State DMV databases: Motor Vehicle Records (MVRs) for commercial auto and trucking submissions

• Insurance-support organizations: loss history reports from CLUE, A-PLUS, LexisNexis Risk Solutions, ISO, and similar industry databases used for underwriting, rating, and fraud prevention

• Insurance carriers and MGAs: submission and underwriting data exchanged to obtain quotes and bind coverage

• Federal motor carrier databases: FMCSA safety scores, CSA data, and inspection histories for commercial trucking clients

• Public records: government, court, and regulatory filings relevant to underwriting, licensing verification, or claims

How We Use Your Information

We use your personal information to:

• Evaluate your insurance needs and obtain quotes on your behalf

• Prepare, present, and deliver insurance proposals

• Bind, issue, service, and renew insurance policies

• Process premium payments and broker fees

• Communicate with you regarding coverage, renewals, endorsements, and policy changes

Information We Disclose

• Insurance Carriers, Wholesale Brokers, and MGAs — to obtain quotes, bind coverage, service your policies, and report claims to the carrier's claims department. These parties receive only the information required for underwriting, policy administration, and claims handling.

• Insurance-Support Organizations — such as ISO, CLUE/A-PLUS, and LexisNexis Risk Solutions, used for underwriting, rating, loss history verification, and fraud prevention. These organizations may retain and share your information as permitted by law.

• Service Providers Acting on Our Behalf — across functions such as customer relationship management, payment processing, electronic document delivery and e-signature, appointment scheduling, business communications, certificate management, accounting, and website hosting. These providers may access your information only as required to perform services for us and are bound by confidentiality obligations. A current list of our service providers is available upon request.

• Premium Finance Companies — if you elect to finance your premium, we share the information necessary to establish and administer a premium finance agreement with a premium finance company.

• Lienholders, Mortgagees, and Additional Insureds — we may share relevant policy information with lienholders, loss payees, additional named insureds, certificate holders, and other parties with a recognized insurable interest under your policy.

• Regulatory Authorities and Law Enforcement — including the California Department of Insurance and other authorities, when required by law, in response to valid legal process, or to protect against fraud.

• Your Authorized Representatives — attorneys, accountants, or others you have authorized to act on your behalf.

• Business Transfers — in the event of a merger, acquisition, sale of assets, or similar transaction, we may transfer your information to a successor entity, which will be required to honor the commitments in this Policy.

We Do Not Sell or Share Your Information

• We do not sell your personal information.

• We do not share your personal information with third parties for their own marketing purposes.

• We do not use your personal information for targeted advertising or to build advertising or marketing profiles.

• We do not disclose medical record information without your authorization, except as permitted by law.

We share your information only as described under Information We Disclose above — to place and service your coverage, to operate our business through service providers bound by confidentiality, and as required by law. These commitments apply to current and former clients alike, for the applicable retention period described under Data Retention below.

Cookies, Tracking & Analytics

Our website uses only strictly necessary cookies required for the site to function. Our analytics are privacy-friendly and cookie-free, measuring aggregate visitor activity that does not identify you personally. We do not currently use third-party advertising or retargeting pixels.

If we add advertising or tracking technologies in the future, we will update this Policy and provide any opt-out mechanisms required by law before doing so.

You can control cookies through your browser settings. Our website does not respond to Do Not Track (DNT) signals.

How We Protect Your Information

We maintain reasonable administrative, technical, and physical safeguards designed to protect the confidentiality, integrity, and security of the personal information we hold, consistent with California Civil Code §1798.81.5. Access is limited to our licensed producers and authorized service providers who need it to perform their duties. Service providers with access to your information are required to protect it under written agreements or applicable data processing terms. No system can guarantee absolute security, but we work to protect your information using measures appropriate to its sensitivity.

Data Retention

We retain personal information only as long as necessary for the purposes described in this Policy or as required by law. Insurance transaction records, applications, and policy documents are generally retained for at least five years following policy expiration, consistent with California Department of Insurance requirements. Billing and payment records are retained for approximately seven years, consistent with tax and accounting requirements. Website inquiries and other information are retained only as long as needed to respond to you or to meet our legal obligations, after which the information is deleted or de-identified. Sensitive information is retained only as long as necessary for the purpose for which it was collected.

Data Breach Notification

If a security breach compromises your personal information, we will notify you in the most expedient time possible and without unreasonable delay, and in no event later than 30 calendar days after discovery, consistent with California Civil Code §1798.82 — except where a delay is requested by law enforcement or is reasonably necessary to determine the scope of the breach and restore system integrity. Where a single breach requires notification to more than 500 California residents, we will submit a sample copy of the notice to the California Attorney General within 15 calendar days of notifying affected individuals, and provide a copy to the California Department of Insurance.

Electronic Communications, Call Recording & Text Messages

Electronic Communications Consent

By conducting business with us electronically — including submitting applications or quote requests online, signing documents electronically, scheduling appointments online, or providing your email address — you consent to receive disclosures and notices electronically, including this Policy, policy-related communications, and required transactional disclosures. You may withdraw consent to electronic communications at any time by writing to us at the address or email under Contact Us below, after which we will provide required documents by mail. Withdrawal does not affect the validity of prior electronic disclosures. You are responsible for keeping your contact information current.

Call Recording (California)

Telephone calls between you and Titan may be monitored or recorded for quality assurance, training, and record-keeping. By continuing a call with us after being notified, you consent to that recording. If you do not wish to be recorded, please tell our representative at the start of the call.

Text Messages

We may send service-related text messages — such as appointment reminders, policy service notices, and document notifications — to individuals who provide a mobile number to us in connection with a quote request, application, or active account. Message and data rates may apply, and message frequency varies. You may opt out at any time by replying STOP; reply HELP for help. Opting out of text messages does not affect your ability to receive communications by phone, email, or mail.

Children's Privacy

Our services are intended for adults 18 and older. We do not knowingly collect personal information from minors.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, service providers, or applicable law. The current version is always posted at titaninssolutions.com/privacy with its effective date. Material changes will be reflected in an updated version posted on our website. Your continued use of our website or services after an update constitutes acceptance of the revised Policy.
